Word Frequency Counter Guide: Count Words and Phrases, Read the Table Honestly – AI Humanizer

What a word frequency counter really counts A word frequency counter does not just tell you how long a text is. A basic word counter answers one question: how many words are there in total? A frequency counter answers a richer question: which words and short phrases appear, and how often does each one appear? It splits your text into individual tokens, groups identical tokens together, counts each group, and then presents the groups in a ranked table. That shift from a single total to a ranked list is what makes the tool useful for editing. Instead of guessing why a draft feels repetitive, you can see the repetition measured, word by word, in front of you. Think of it as an X-ray for wording: the surface meaning stays the same, but the structure underneath suddenly becomes visible. It helps to picture a community newsletter editor preparing the monthly issue. The draft is only nine hundred words, yet it feels oddly heavy. She pastes it into the counter and sees the name of the neighbourhood mentioned far more often than she expected, along with the phrase next week repeated in almost every section. Nothing about the total word count would have revealed that pattern. The frequency table does, because it shows distribution rather than size. The same idea works for a student essay, a product description, or a long support answer: the total tells you how much you wrote, while the frequency list tells you how you wrote it. She does not need to rewrite everything; she only needs to decide where the repetition helps the reader and where it merely takes up space. How to use this tool step by step Start by placing your text in the input box. You can type directly, paste from a document, open a plain text file from your device, or press the sample button to try the tool with a short demonstration paragraph first. As soon as text is present, the tool analyses it in your browser and builds the ranked table. Before you read too much into the results, glance at the option controls and set them for the job you have in mind. If you are hunting for repeated content words, you will probably want stop words ignored. If you are checking exact wording, you may want them kept. A ten-second setup saves a confused second reading later. The analysis updates in the same tab, so you can experiment freely without committing to any single view of the text. Once the table appears, read it from the top. The highest rows are the words or phrases your text leans on most heavily. Use the search box inside the results to jump straight to a word you are worried about instead of scrolling. When a row surprises you, click it: the source preview underneath highlights every matching occurrence in context, so you can judge whether each use is natural or whether three of them could be replaced or removed. When you are finished, copy the table for a document or download it as a CSV file for a spreadsheet. If you edit the original text, paste the new version and compare the two tables before deciding the revision is done. Keeping the exported file next to the draft also gives you a simple record of what changed between the first version and the final one. Counting rules: case, minimum length and count, stop words and phrases Three switches shape almost every result. The case-sensitive toggle decides whether capitalisation creates separate entries. With it off, River, river, and RIVER are grouped as one entry, which is usually what an editor wants. With it on, they are counted separately, which can be useful when you are checking names, headings, or code-like labels. The minimum word length filter removes very short entries from the table, and the minimum count filter hides anything that appears only once or twice. Used together, they let you clear away visual noise and focus on patterns that genuinely repeat rather than one-off words that happen to be in the draft. A short experiment makes this clear: run the same paragraph once with filters off and once with them on, and watch how dramatically the ranking can change. Stop words are the small, frequent function words that hold sentences together, such as articles, pronouns, and common prepositions. Ignoring them does not delete them from your text; it only removes them from the analysis so content words become easier to see. The list used here follows the language you have selected for the page, and it is deliberately not exhaustive, so you should treat it as a helpful filter rather than a perfect definition of an unimportant word. The final control is phrase size. One-word mode counts single words, two-word mode counts overlapping word pairs, and three-word mode counts overlapping triples. Phrase mode is excellent for spotting a slogan, instruction, or transition you have reused without noticing. Two-word and three-word modes often reveal habits that single-word mode hides, because a writer may vary individual words while repeating the exact same phrase around them. Reading the table: count, percentage, unique entries and vocabulary variety Each row gives you three core facts: the entry itself, how many times it occurs, and what share of the analysed tokens that count represents. That percentage is calculated from the analysed total after your current filters have been applied, not necessarily from every word you originally pasted. If stop words are ignored or short words are filtered out, those words leave both the table and the denominator. This is why two tools, or even two settings in the same tool, can report different percentages for the same draft. Neither result is lying. Each one is simply answering with a different denominator, and the table footer and summary numbers make that denominator visible so you can interpret the share honestly. That is also why you should always note which settings produced a table before you share percentages with a colleague or compare them with an older draft. Above the table you will see several summary figures. Total words describes the text you supplied, analysed tokens describes what remained after filtering, and unique entries counts how many distinct words or phrases survived. Filtered out shows how much was set aside by your settings. The type-token ratio compares unique entries with analysed tokens as a rough signal of vocabulary variety. A higher ratio suggests more varied wording, while a lower one suggests heavier reuse. Use it carefully: the ratio naturally falls as texts get longer, because function words and key terms must repeat. It is only meaningful when you compare drafts of similar length, purpose, and settings. On its own, it is a conversation starter, not a grade. Treat the summary as a dashboard rather than a scoreboard, and it becomes far more useful for honest revision. Real uses: editing repetition, SEO diagnostics, study and research The most immediate use is editing. Writers rarely notice their own favourite words while drafting, because the brain reads for meaning rather than pattern. A frequency table makes those habits visible in seconds. Perhaps a report relies on the word important whenever the argument needs emphasis, or a set of help-centre answers begins every second paragraph with the same reassuring phrase. Seeing the count lets you make deliberate choices: keep the repetition where it creates clarity or rhythm, and vary it where it has become a crutch. Clicking through to the highlighted preview is what turns a number into an edit, because context tells you whether a repeated word is doing useful work or merely filling space. The goal is never to eliminate repetition altogether, because good writing repeats key terms for clarity; the goal is to make every repetition a choice. For website content, frequency is best treated as a diagnostic aid, never as a ranking formula. Checking how often a topic term and its natural supporting phrases appear can reveal a page that promises to cover a subject but barely mentions it, or a draft so focused on one exact phrase that it reads unnaturally. That is genuinely useful information. What the numbers cannot do is tell you a perfect percentage to aim for, because no such percentage exists and search engines do not reward text for hitting one. Beyond editing and websites, the same table supports study and research: a language learner can see which vocabulary a chapter really uses, a teacher can compare two set texts, and an interviewer can scan a transcript for themes a speaker returned to again and again. The same transcript view can help a researcher check whether an interview guide accidentally led every participant toward the same wording. Privacy and language limits: local processing and how text is split Everything you paste or open here is processed locally in your browser tab. Your text is not uploaded to a server for counting, not stored in an account, and not retained by the tool after you leave. That design matters when the material is a draft contract, an unpublished announcement, a student's work, or interview notes that were shared in confidence. You can verify the approach yourself: load the page, disconnect from the internet, and run the analysis again. It still works, because the counting happens on your device. The honest trade-off is equally simple. If you close the tab without copying your text or downloading the results, there is no cloud copy waiting for you. Privacy and persistence pull in opposite directions, and this tool chooses privacy. For everyday drafts the benefit is simpler: you can paste a sensitive paragraph, get your answer, and close the tab without wondering where a copy might be stored. Splitting text into words sounds universal, but writing systems do not all work the same way. This counter separates tokens mainly where spaces and punctuation mark boundaries, keeps normal internal apostrophes together, and treats hyphenated forms and numbers according to consistent rules that may differ slightly from another counter. Scripts that do not normally use spaces between words, including Japanese, Chinese, and Thai, need special care: a space-based counter will treat long runs of characters as single tokens, so the resulting table reflects character runs rather than dictionary words. For those languages, character-level analysis is usually the more meaningful starting point. Numbers, abbreviations, emoji, and web addresses can also shift results between tools, so compare drafts with the same settings when a difference of a few counts actually matters. When accuracy matters, run a small test sentence through the counter first so you can see exactly how it treats the punctuation and forms your text actually uses. Frequently asked questions and honest limits Most questions are practical. Is the tool free? Yes, with no account and no counting limit imposed by the page. Does it save my text? No, the analysis stays in the current browser tab. Can I analyse a very long document? You can paste or open large texts, although extremely long material is easier to review in sections so the table stays readable. Why does my percentage change when I change a setting? Because filters change the analysed total that the percentage is divided by. Does ignoring stop words change my original text? No, it changes only the analysis view. Should I rewrite until my main keyword reaches a particular percentage? No. Use the table to check clarity, coverage, and natural repetition, then write for the reader. If two counters disagree slightly, the difference almost always comes from token rules or filters rather than from one tool being broken. A frequency counter is a mirror, not a judge. It shows you patterns you may have missed, but it cannot tell you whether a repeated phrase is a helpful signpost or a lazy habit, whether a rare word is precise or confusing, or whether a text will rank, persuade, or pass an exam. Those decisions still belong to a human who understands the audience and purpose. What the tool removes is guesswork about the measurable part: what appears, how often, and in what share of the analysed text. Paste your draft, set the filters for the question you are asking, click the rows that surprise you, and let the highlighted evidence guide your next edit. That modest, honest use is where the tool earns its place. Used that way, a few minutes with the table can save a much longer and less certain round of manual searching later.
